Job Description
Under the direct supervision of the Agent Care Manager processes agent Contracting, appointment updates, maintains agent records, terminations, and record changes. Works in various systems, including Lifepro, CLARC, Vertafore and others.
CORE FUNCTIONS
- Reviews and processes agent contracting/appointment requests for new agent applicants for all distributions in accordance to company’s policies and procedures, by confirming license forms and other documents are present by reviewing required documentation; submitting background investigation to vendor, processing the appointment and assigning agent number, and distributing the appointment approval notification and executed contract. Processes agent contract exchange requests for existing agents for all distributions in accordance to company guidelines.
- Maintains agent licensing records system to ensure current licensing information by utilizing system reports, receiving licensing information, and updating agent’s record.
- Handles the agents contract/appointment termination process by updating the agent’s record to reflect the termination date, sending appointment termination to the corresponding state(s), and corresponding with the agent of the contract termination.
- Creates agent commission assignments by establishing a commission record and maintains agent commission assignment records by updating the record upon receipt of a request.
- Processing of annual appointment renewals according to state guidelines, including but not limited to: paying state invoices and researching discrepancies between state DOI records and company records.
- Reviews new business submitted with inaccurate agent information and corrects information as necessary.
- Verifies new business submitted for external carriers for all supporting documentation is complete and correct and maintains documentation and shipping logs for all items sent to external carriers.
- Communicates with agents/managers, clients, case managers and external carriers by phone, email and fax.
- Performs data entry.
- Distributes manager agreements to obtain agent signature by mailing to the appropriate manager.
KNOWLEDGE, SKILLS AND ABILITIES
- Excellent communication skills and customer service skills. Business writing skills as related to accurate and correct internal and external business communications.
- Strong aptitude for understanding technical solutions and learning/utilizing tools. Intermediate knowledge of MS Office Suite (Excel, Word and PowerPoint).
- Strong desire and ability to work with employees and customers in a co-operative, professional and friendly manner.
- Able to work independently, set priorities and handle multiple tasks.
- Strong attention to detail.
EDUCATION AND EXPERIENCE
- High school diploma or general education degree (GED) required.
- Minimum of 18 months of insurance work experience in licensing sales distribution systems, customer service or other insurance related field.
- Two or more years of college course work can substitute for the required work experience.
- Computer/ PC experience required.
- Agent licensing experience desired but not required.
