Job Description

Elk Creek Fire Protection District is accepting applications for a part-time District Administrative Assistant. The District Administrative Assistant will report to the District Administrator and assist with managing the day-to-day office operations of the Fire District. This position requires an individual who possesses excellent organizational skills and the disposition to work well with other department members, vendors, and the public. We are looking for a professional individual who thrives in a team environment and that can grow with the Fire District. The work schedule is flexible with an anticipated 20-30 hours a week.

Elk Creek Fire Protection District covers the communities of Aspen Park, Conifer, Pine Junction, and portions of Morrison in Colorado. The annual call volume is 1,200 calls per year in an area of mixed residential, commercial and recreational properties, consisting of approximately 60% EMS and 40% fire. The District has a focus on wildland fire due to the wildland-urban interface risk. The District provides ambulance (both ALS and BLS) response and transport.

Responsibilities:

  • Performs fiscal and administrative support with reference to the accounting, procurement, clerical, and procedural function of the Fire District.
  • Fields incoming calls and public walk ins.
  • Coding of vendor invoices and processing payments.
  • Monthly entry of credit card purchases.
  • Assists with the preparation of monthly board meetings.
  • Helps with accounts receivable and collections.
  • Processes wildfire billings to appropriate states when ECFPD staff go on wildfire assignments outside of the District.
  • May assist with payroll administration and/or grant writing depending on the experience and interest of the successful candidate.
  • Other duties as assigned.

Necessary Qualifications:

  • High School Diploma/GED.
  • Valid Colorado driver’s license.
  • Willingness to commute to Conifer, CO.
  • Strong computer skills including Microsoft Office (Word, Excel, PowerPoint).
  • Demonstrated administrative experience (preferably in a similar government agency).
  • Strong organizational skills, attention to detail, and ability to prioritize work, multi-task, deal with interruptions, last minute changes, and rigid deadlines.
  • Strong oral communication skills and ability to communicate clearly, concisely and effectively and to maintain confidentiality as appropriate.
  • Strong written skills and ability to compose specific correspondence and reports from written drafts and oral instructions as well as the ability to research, organize and compile data into meaningful reports.
  • Ability to work independently with minimal supervision to meet broad work expectations.
  • Willingness to learn accounting programs and standard accounting practices.
  • Ability to work with limited supervision and effectively prioritize workload.

Preferred Qualifications:

  • Associates Degree in Business or relevant field.
  • Working knowledge of standard accounting practices.
  • Two years of experience using Sage or a similar accounting program.
  • Intermediate to advanced level skill with Microsoft Excel.
  • Experience with payroll administration.
  • Experience with grant writing.

Work Environment and Physical Demands: This is an office environment. While performing the duties of this job the employee is frequently required to see, sit, talk and hear. The employee is occasionally required to walk; use hands and fingers to handle or operate objects, tools or controls; and reach with hands and arms. The employee is occasionally required to climb or balance; stoop, and kneel. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
